Cynaptek is responsible for processing the data collected on this website. Cynaptek's Data Protection Officer is Gil Guminski. You can contact him by email via gil@cynaptek.com with any questions regarding this privacy policy.

The company is active in Belgium.

In this privacy policy, we use the name « Cynaptek » to refer to the company.

This privacy policy documents Cynaptek's privacy policy as controller, i.e. for processing operations for which Cynaptek defines the purposes and means of the processing.

What personal data is collected about users of this website?

Users can provide their personal data to Cynaptek via this website by browsing the site, making a request via the contact form or submitting an application via the existing form.

For each contact request, Cynaptek collects the following informations:

  • First Name
  • Type of request
  • E-mail address
  • Topic
  • Message

During navigation, our server stores logs (events executed by a server or a computer application). This mainly consists of retrieving your IP address and request history (such as a page visit for example).

Why Cynaptek collects and uses this personal data

Online application (via the contact form)

Cynaptek keeps data on professionals who are looking for work. This personal data is only used to assess a candidate's ability (training, experience, etc.) to hold a position offered by Cynaptek or one of its clients.

Contact Form

The information that the user enters via the contact form is only used to respond to the user's request. When the request is commercial, and with the explicit consent of the data subject, personal data may also be used to send mailings on business-related subjects (new service, participation in events...).

Personal data will only be used for these purposes.

How Cynaptek collects this personal data

Cynaptek collects user data through different sources of information:

  • The user submits an application via the contact form
  • The user submits a request via the contact form

Who processes users' personal data

Navigation

Cynaptek's IT department is the recipient of the server logs for the purpose described above. Access to the logging system is secure and supervised.

Online application form

Cynaptek's recruitment department is the primary recipient of candidates' personal data for the purposes described above in this privacy policy. During the recruitment process, it is possible that the application may also be transferred to the sales representative in charge of the Cynaptek customer and to the customer himself.

Contact form for further information

Cynaptek's sales department is the main recipient of the information collected via the contact form for the purposes described above. Depending on the nature of the request, it can be transferred to another department (recruitment, marketing, IT, Admin...) or another company of the Cynaptek group.

How Cynaptek collects and maintains evidence of user consent

Each user is clearly informed of the uses that may be made of his or her personal data at the time he or she provides them and as described in this privacy policy.

Consent is required for candidates and prospects. After the first contact, the candidate or prospect will be asked to give their explicit consent to the processing of this data via the online form. This consent will be kept in Cynaptek's system. If Cynaptek does not obtain the candidate's consent, then his information will not be stored or processed.

How long Cynaptek keeps users' personal data and what is the legal basis

Navigation

Server logs are stored for a period of 6 months. The storage of these logs is legal if the user is well informed of the implementation of the logging system and the data stored is only used to ensure the security of the system and the detection of anomalies.

Online application form

After receiving the candidate's consent, Cynaptek keeps the data for 2 years on the basis of the recommendations of the competent authorities and the candidate's explicit consent.

Contact form for further information

The personal data collected via the contact form are only processed for the time necessary to answer the user's question. As a result, the retention period for information is variable and depends on the complexity of the request. When a user submits the contact form, he or she can legitimately expect a response from us.

If the request is commercial, with the prospect's consent, Cynaptek keeps the data for 3 years after the last contact on the basis of the recommendations of the competent authorities and the prospect's explicit consent.

Rights of the data subjects

In compliance with the General Regulations on the Protection of Personal Data (RGPD), users have the following rights with regard to the data that Cynaptek collects about them:

  • Right of access
  • Right to rectification
  • Right to erase (right to be forgotten)
  • Right to limitation
  • Right to portability

For any request concerning these rights, users can send an email to info@cynaptek.com with the subject of their request. Cynaptek will respond to the request made in relation to the rights listed above within one calendar month of receipt of the request. If Cynaptek receives many requests or complex requests, the response time can increase by up to 2 months.

For security reasons, for each request related to these rights, Cynaptek will verify the identity of the person submitting the request. To do this, the person concerned will be invited to do one of these two actions:

  • Send a copy of an official document (identity card, passport) and a copy of a service invoice (telephone, electricity, etc.) that clearly indicates the name and address of the person concerned.
  • Call Cynaptek who will carry out a strict telephone verification which will consist in comparing the answers provided by the user with the information available to him.

Cynaptek will only respond to the request after a positive identification.

Subcontractors

Cynaptek does not share personal data with other companies.

The hosting of the website is entrusted to the company OVH.

The Cynaptek website uses several cookies. A "cookie" is a small file, usually composed of letters and numbers, sent by the web server to the browser's cookie file on a computer's hard drive.
